By submitting this application form, your museum or cultural institution ("the Participant") agrees to the following terms regarding participation in the Museums & Gaming Connected project ("the Project").


1. About the Project

Museums & Gaming Connected is a research and collaboration project exploring how museums and schools can meaningfully connect with younger audiences through gaming, with a particular focus on Roblox as an accessible and scalable platform for cultural and educational engagement. The Project is led by Broken Egg and Xolbor and includes co-creation with museums and universities, workshops, and a Gaming Cultural Hackathon with students and cultural institutions. Outcomes include concrete concepts, a shared knowledge document, and a scalable Gaming Playbook for the cultural sector.


2. Use of Brand and Logo

By participating, the Participant grants Broken Egg and Xolbor a non-exclusive, royalty-free license to use the Participant's name, brand, and logo for the following purposes:

  • Project communications, including the project website, presentations, research reports, and documentation

  • Promotional use, including social media, press communications, and portfolio references related to the Project

  • Inclusion in the final Gaming Playbook and any publications, summaries, or derivative materials produced as outcomes of the Project

The Participant's brand and logo will always be used in a respectful manner consistent with the cultural and educational nature of the Project. The Participant may provide brand guidelines, which Broken Egg and Xolbor will reasonably follow.


3. Use of Information Provided

The information submitted through this form — including descriptions of the museum's collection, audiences, educational goals, and relevant context — will be used for the following purposes:

  • Hackathon input. Selected parts of the information will be shared with students participating in the Gaming Cultural Hackathon as source material for developing concepts, prototypes, and design challenges.

  • Project research. The information will inform the research, workshops, and strategic outcomes of the Project.

  • Playbook outcomes. The resulting concepts, insights, and learnings developed during the hackathon and project will be published in the Gaming Playbook and shared across the cultural sector. The raw information provided by the Participant will not be reproduced one-to-one in the Playbook; only the resulting outcomes and contextual references will be published.

The Participant confirms that the information shared does not contain confidential or sensitive material that cannot be used for these purposes. If specific information is considered confidential, the Participant should clearly indicate this in the form or in writing to Broken Egg.


4. Concepts and Intellectual Property

Concepts and prototypes developed by students during the hackathon are created as part of an educational and research initiative. These outcomes may be showcased, documented, and published as part of the Project's results and the Gaming Playbook. Participation in the Project does not transfer ownership of the museum's collection, archives, or original intellectual property to Broken Egg, Xolbor, or the students.


5. No Financial Obligations

Participation in the Project is free of charge. Neither party has any financial obligation to the other as a result of participating, unless agreed separately in writing.


6. Project Communication

The Participant agrees to be reasonably available for project-related communication, including occasional questions, feedback moments, or invitations to workshops and events connected to the Project.


7. Withdrawal

The Participant may withdraw from the Project at any time by notifying Broken Egg in writing. Materials already published or shared as part of the Project's outcomes prior to withdrawal may remain in use, but no new materials will be produced using the Participant's brand or information after the withdrawal date.


8. Liability

Broken Egg and Xolbor will carry out the Project with care and professionalism but cannot be held liable for any indirect consequences arising from participation in the Project.


9. Governing Law

These terms are governed by the laws of the Netherlands. Any disputes will be resolved in good faith between the parties before pursuing other means.


10. Agreement

By submitting this form, the Participant confirms that they have read, understood, and agreed to these Terms of Participation, and that the person submitting the form is authorized to do so on behalf of the institution.
